Link notes to calendar events

When you connect Evernote and Google or Outlook Calendar, you'll be able to link notes to events in your calendar, and access them from the calendar widget in Home or by searching for event details.

When a note is linked to a calendar event, details including the meeting title, date, time, conference link, location, attendees, and description are automatically populated into the note. You can view these details in the note, but you cannot edit any details in Evernote. When you make changes to the event in Google or Outlook Calendar, they will automatically update in your note.

You can expand and collapse the calendar event by clicking the arrow in the upper right corner of the gray content block.

Linked notes aren't visible in Google or Outlook Calendar, but you can include a public link to the note in the calendar event description if you'd like other meeting attendees to have view access to the note. To give other meeting attendees access to the note in Evernote, share the note with them by clicking the Share note with participants button.

Create a new note for a calendar event

When a new note is created from the calendar widget, a pre-formatted note containing event details and sections for action items and notes will be added to your default notebook. There are two ways to create a new note for a calendar event.

  • From the New note icon button in the calendar widget

    1. Click or tap the New note icon button on the event in your calendar widget.
  • From the calendar widget

    1. Click or tap on an event in your calendar widget.
    2. Select Create note for event from the menu.

Link existing notes to a calendar event

When you create a new note from an event in the calendar widget, it's automatically linked to the event. You can also link an existing note in two different ways.

  • From the calendar widget

    1. Click or tap on an event in your calendar widget.
    2. Select Link a note... from the menu.
  • From within a note

    1. Open an existing note.
    2. Click or tap in the note editor.
    3. Click or tap the Insert button in the formatting toolbar.
    4. Select Calendar Event.
    5. Choose the calendar event you'd like to link.
    6. Click or tap Insert.

When a note is linked to a calendar event, you'll be able to click on it from the calendar widget to go directly to the note. You can link multiple notes to one event, and you can link one note to multiple events.

Unlink a note from a calendar event

There are multiple ways to unlink a note from a calendar event.

  • Use your keyboard to backspace/delete the gray content block that has the calendar event in it.
  • Click or tap the gray header, then click or tap the trash can icon.
  • Click or tap the gray header, then click or tap the More options button (three dots) and select Unlink this event.

Search for linked notes using event details

Find notes linked to calendar events by searching for event details like date, time, location, and attendees. Searches must be an exact match to the event detail to be found. For example, to find a note based on a meeting attendee, you must type in the attendee's exact email address that was used in the calendar invite.

You can also filter your searches for notes that are linked to calendar events by clicking on the Add Filters button and selecting Calendar Event from the Contains dropdown.

If I update details of the calendar event in Google or Outlook, does it sync to my linked notes?

Yes. Information from the calendar event is updated whenever event details are changed in Google or Outlook. When you have Evernote open, it can take up to 30 seconds to sync your changes.

Can I edit the event details in the calendar widget or in a linked note?

Yes. We have activated the two-way calendar sync. Now, you can create, edit, and delete events in your Google or Outlook calendars directly from Evernote. All changes will sync and appear in your external accounts.

Can I customize the pre-formatted event note template?

No. The template cannot be customized at this time. However, once the pre-formatted note has been created, you can edit the Action Items and Notes sections and add any other content to the note.

Is my linked note visible to other attendees on the calendar event?

No. By default, any note you create and link to a calendar event will only be visible to you. If you’d like to give meeting attendees access to the note, you can include a public link to the note in the calendar event description or share the note with them directly in Evernote. Select the Share note with participants button below the calendar event details in the note to easily share the note with attendees and set view/edit permissions.

If I link a note to a recurring event, will the note be automatically linked to all events?

No. You must manually link the note to each event. If a note was previously linked to a recurring event, you can click on the event in your calendar widget and select Find related notes to display any and all notes previously linked to that event.
