Configure your ScanSnap Evernote Edition scanner for ScanSnap Home software

Overview

Fujitsu, the manufacturer of your ScanSnap Evernote Edition scanner, will no longer update the ScanSnap Manager Evernote Edition firmware or software. We recommend that you update your scanner's firmware and software to match the functionality of Fujitsu's ScanSnap iX500 scanner (which the Evernote Edition is a variant of).

Updating your ScanSnap Evernote Edition scanner to a Fujitsu ScanSnap iX500 scanner will allow you to continue scanning to Evernote and other cloud services, and continue receiving all of Fujitsu's ScanSnap updates and bug fixes in the future.

In addition, Fujitsu's ScanSnap Home software offers some great new features and functions built upon the already-existing automatic detection of documents, business cards, receipts and photos into Evernote. These include:

  • Stay fully compatible with future macOS and Windows updates with new 64-bit scanner firmware and software.
  • Pre-title your scans before they're sent to Evernote or have the note title generated automatically by extracting text from the scanned documents.
  • Scan directly to your Evernote account, locally to your computer, or to other cloud services.

1. Update your scanner's firmware

Before updating your scanner's firmware, please carefully read the Frequently Asked Questions. There are several differences between using your scanner with ScanSnap Manager Evernote Edition software and Fujitsu's ScanSnap Home software. Most importantly, when you update your scanner's firmware, it is permanent and you cannot go back to the ScanSnap Evernote Edition scanner firmware or software.

Note: The firmware update and initial setup and configuration of ScanSnap Home takes about one hour to complete.

  1. Go to Fujitsu's update website and read Steps 1 through 3.2.
  2. Download the update tool in Step 3.2. Note: You must agree to Fujitsu's End-User License Agreement for ScanSnap Evernote Edition Convert Tool to download the tool.
  3. Open and run the downloaded file. During the update, do not disconnect any cables or power off your scanner or computer.

2. Download and set up ScanSnap Home

Once the firmware update is complete, download ScanSnap Home, create a ScanSnap account, then install the ScanSnap Home software.

2 First, download (but do not install yet) the ScanSnap Home software.

3 Before installing ScanSnap Home, register for a ScanSnap account by clicking the blue Go to ScanSnap account registration button.

4 Once your ScanSnap account has been successfully created, open and run the software installer you downloaded in Step 2.

Note: Quit all ScanSnap applications that may be running on your computer, including the ScanSnap Manager Evernote Edition software.

5 When prompted during the software installation, select iX500 from the scanner list and then click Start Setup.

Note: The ScanSnap Home installation instructions will refer to the iX500 scan button as blue. Your scan button will be two colors: green and yellow. This is normal.

6 Once you've installed the ScanSnap Home app, you will be prompted to set up a wireless connection to your Wi-Fi network. You must connect the scanner to your Wi-Fi network and scan wirelessly to be able to scan directly into Evernote, so we recommend you complete this now, rather than later.

Note: If Wi-Fi scanning was previously configured with your ScanSnap Manager Evernote Edition software, you may be alerted that “Wireless connectivity to another computer has already been setup with ScanSnap. Do you want to connect this computer to ScanSnap via Wi-Fi?” To successfully complete the setup Wi-Fi setup, click Yes.

3. Configure ScanSnap Home to scan to Evernote

Once the firmware update is completed, you've created a ScanSnap account, and the ScanSnap Home software is installed, you need to configure ScanSnap Home to scan to Evernote.

  • Dock or Applications folder (on Mac)
  • Taskbar or desktop (on Windows)

2 Click the cloud mode icon (letter ‘S' in a cloud), then click the blue Scan button.

Note: If this is your first time scanning using this software, you will be prompted to sign into your ScanSnap account. After signing in, close the Account window to return to ScanSnap Home and click the blue Scan button again.

3 In the "ScanSnap Home - Scan" window that opens, click the Edit profiles icon in the upper right corner (half-circle with pencil), then click the Scan to Cloud tab.

Note: If this is your first time scanning using this software, a pop-up should appear asking you to set a profile. Click Set to go to the profile editor.

4 Under the “Scan settings” section, click the Selecting... button next to the “Service name” field.

5 Select Evernote from the list then click Select. A web browser window will appear and you will be asked to sign into your Evernote account to authorize ScanSnap Cloud.

6 Authorize ScanSnap Cloud to access your account. Then, go back to ScanSnap Home.

7 When you're asked if you want to set the same service for all document types which are not set yet, click Set. This applies Evernote to be the “save to” destination for each of the document types: documents, business cards, receipts, and photos.

8 If the connection is successful, you should see Evernote in the “Service name” field for each document type.

9 Click Save to save your configuration settings.

10 Confirm that you are successfully connected to Wi-Fi and set up to scan to ScanSnap Cloud, as indicated by the color of the button on your scanner. When you are successfully ready to scan to Evernote, the button on the scanner will go from solid green to two-tone green and yellow.

4. Scan to Evernote

After configuring ScanSnap Home for the first time and connecting it to Evernote, you can begin scanning documents, business cards, receipts, and photos into Evernote.

4 Press the scan button on your scanner. The color of your button may vary depending on your scanner model.

5 After the scan is completed, open Evernote and your scan will be saved in the notebook specified in your scanner configuration settings.

Note: If you don't see the note right away, try syncing or reloading Evernote. If it's not appearing in the expected notebook, try looking at the first note in your "All Notes" list.

Frequently Asked Questions

Updating your scanner

What if I don't want to update? Can I decline the update? Will my ScanSnap Evernote Edition scanner stop working if I choose not to update?

No. You do not have to update your scanner immediately. Your scanner should continue to run as-is; however, with Fujitsu no longer supporting the firmware or software, new operating system updates (like macOS Catalina (10.15)) may render the app and scanner incompatible.

If Fujitsu's ScanSnap Online Update prompts you, you may choose to decline the update. However, it may continue to prompt you.

Also, please keep in mind that if you run into any technical trouble with your scanner, the first recommended course of action will be to update your scanner's firmware to receive the latest bug fixes and patches from Fujitsu.

If I update my firmware and software, can I go back to the Evernote Edition firmware and software?

No. The update and migration to Fujitsu ScanSnap iX500 firmware and ScanSnap Home software is permanent and cannot be undone. The Evernote Edition software will no longer work, and should be uninstalled after the update to avoid confusion.

If I update, can I use both the old and new software at the same time?

No. The ScanSnap Manager Evernote Edition software and Fujitsu ScanSnap Home software cannot be used at the same time. The Evernote Edition software will no longer work, and should be uninstalled after the update to avoid confusion.

How do I know which firmware my ScanSnap Evernote Edition scanner is using?

The easiest way to tell which firmware your scanner is using is to look at the color of the physical scan button. If you have the older, Evernote Edition firmware, it should be a solid green color. Once you update to the Fujitsu ScanSnap iX500 firmware, the scan button will become a green and yellow two-toned color.

If your scanner button is green, it will only work with ScanSnap Manager Evernote Edition software. If your scanner button is green and yellow, it will only work with Fujitsu's ScanSnap Home software.

If you can't tell what color your scan button is or aren't sure what software you're using, we suggest uninstalling the ScanSnap Manager Evernote Edition software, and updating to Fujitsu's ScanSnap iX500 firmware and ScanSnap Home software using the steps in this article.

What happens to my scans that are already in Evernote? Will they be removed if I update to Fujitsu's ScanSnap Home software?

All your previously saved scans will stay in your Evernote account and will not be removed if you update to Fujitsu's ScanSnap Home software.

What ScanSnap Manager Evernote Edition features are not available in ScanSnap Home?

With ScanSnap Home, you will no longer be able to do the following:

  • Save scans to Evernote without being connected to a wireless network. Once you connect your ScanSnap to a wireless network, you can easily scan to Evernote.
  • Pull contact information from LinkedIn or send contact information to Mac Contacts when scanning business cards.
  • Automatically tag documents while scanning.

Are the ScanSnap Manager Evernote Edition firmware and software compatible with macOS Catalina (10.15)?

No. The ScanSnap Manager Evernote Edition firmware and software will not function with macOS Catalina (10.15). To continue using your scanner with macOS Catalina and beyond, please use the steps in this article to update your scanner's firmware to Fujitsu's ScanSnap iX500 and to install Fujitsu's ScanSnap Home software.

Are the ScanSnap Manager Evernote Edition firmware and software still compatible with Windows 10?

Yes. The 32-bit ScanSnap Manager Evernote Edition firmware and software currently work with Windows 10. However, future Windows OS updates may render the firmware and software incompatible since Fujitsu is no longer updating the firmware or software for this device.

Why is the ScanSnap Manager Evernote Edition software still on my computer after the update? Can I use it? Should I uninstall it?

After updating, the ScanSnap Manager Evernote Edition software will no longer work with your scanner and should be uninstalled to avoid confusion with ScanSnap Home. The Fujitsu update tool does not automatically uninstall the ScanSnap Manager Evernote Edition software when you update to the new firmware.

To uninstall the ScanSnap Manager Evernote Edition software:

  • Mac: Go to Finder, then click Applications > ScanSnap Evernote Edition > Sub > ScanSnapEE Uninstaller and follow the on-screen steps.
  • Windows: Open the Start (Windows) menu, then click Settings > Apps > Apps & features > ScanSnap Manager Evernote Edition > Uninstall and follow the on-screen steps.

Scanning to Evernote

Where are my scans saved in Evernote?

By default, ScanSnap Home will send your documents, business cards, receipts, and photos to the following notebooks in Evernote:

  • Documents → Documents
  • Business Cards → Cards
  • Receipts → Receipts
  • Photos → Photos

If any of these notebooks don't already exist in your Evernote account, they will be created automatically when you scan.

How do I change which notebooks my scans are saved to?

To change the save notebook of a particular document type:

  1. Open ScanSnap Home.
  2. Click the cloud mode icon (letter ‘S' in a cloud), then click the blue Scan button.
  3. In the new window that opens, click the cloud mode icon again, then click the Edit profiles icon in the upper right corner of the window (half-circle with pencil).
  4. Select the Send to ScanSnap Cloud... tab.
  5. In the "Scan settings" section, under "Modify settings for each document type," choose the document type and edit the "Save to" field.
  6. Click Save to save your configuration settings.

How do I configure my scanner to scan via Wi-Fi with ScanSnap Home?

When installing ScanSnap Home for the first time, the installer should walk you through connecting to your Wi-Fi network to scan wirelessly. If this was dismissed or you need to change a setting, these steps will enable you to reconnect:

    1. Open ScanSnap Home.
    2. On Mac: In the menu bar, click ScanSnap Home > Preferences > Scanner > Wireless Setup... > Wireless Network Setup Wizard.
      On Windows: In the menu bar, click Settings > Preferences > Scanner > Wireless Setup... > Wireless Network Setup Wizard.
    3. Follow the on-screen prompts to connect to your wireless network.

Note: If Wi-Fi scanning was previously configured with your ScanSnap Manager Evernote Edition software, you may be alerted that: “Wireless connectivity to another computer has already been setup with ScanSnap. Do you want to connect this computer to ScanSnap via Wi-Fi?” If you want to automatically complete the Wi-Fi setup using the previously saved Wi-Fi configuration settings, click Yes. Selecting No will enable you to reconfigure your wireless connection settings.

Why are my business cards appearing as images rather than contact notes in Evernote?

By default, Fujitsu's ScanSnap Home saves business cards as images only. You can change this setting in the ScanSnap Home profile configuration. To do that:

  1. Open ScanSnap Home.
  2. Click the cloud mode icon (letter ‘S' in a cloud), then click the blue Scan button.
  3. In the new window that opens, click the cloud mode icon again, then click the Edit profiles icon in the upper right corner of the window (half-circle with pencil).
  4. Select the Send to ScanSnap Cloud... tab.
  5. In the "Scan settings" section, under "Modify settings for each document type," select Business Cards.
  6. Scroll down and uncheck the box for "Save images only to cloud service."

I have a different ScanSnap scanner, or another non-Fujitsu brand scanner. How do I configure it to send to Evernote?

This article covers updating the ScanSnap Evernote Edition scanner (specifically) to use Fujitsu's ScanSnap Home software.

If you have a different model scanner, contact the manufacturer to see if they support scanning directly into Evernote. Scanning into Evernote is a feature that is implemented by the scanner manufacturer, not by Evernote.

How will support for the scanner's hardware, firmware, and software be handled in the future?

The Evernote Edition scanner hardware was manufactured by Fujitsu with software designed specifically for collaboration with Evernote. After completing the update process, the Evernote-specific software will no longer work and your scanner's hardware (ScanSnap iX500 firmware) and software (ScanSnap Home and ScanSnap Connect) will be managed by Fujitsu.

ScanSnap Home connects to the Evernote service to send scans to your Evernote account, so you will still be able to easily scan directly into Evernote with Fujitsu's software.

Should you encounter issues with either the scanner's hardware or software after the update, your best resource to resolve an issue is Fujitsu Support.
