How to change the names of shared notebooks

There will be times when you may want to change the name of a shared notebook. For example, if the name of a project or department has changed, you’ll want to update the name of your notebook to reflect those changes.

Who can change the name of a shared notebook?

The rules are slightly different for personal or business notebooks. Anytime a notebook name is changed, everyone it’s been shared with will see the updated notebook name in their notebook lists.

Personal notebooks: A notebook can only be renamed by the person who created the notebook.

Business notebooks: A shared business notebook can only be renamed by:

  • Users with “Can edit and invite” permissions for the shared notebook
  • The company’s account admin (by joining with "Can edit and invite" permissions via the admin console)

How can I check which recipients of a shared business notebook have permission to rename it?

If you have ‘Can edit’ or ‘Can edit and invite’ permissions, you can find out which recipients of a shared business notebook have ‘Can edit and  invite’ permissions, and can rename it. Only those with ‘Can edit and invite’ permissions can rename a shared business notebook.  Learn more

Evernote Business account admins can view and edit notebook sharing permissions for all business notebooks shared and published in a company account. Learn more

FAQ

One of my shared notebooks has an old or different name. What should I do?

Recently, Evernote changed the way shared notebooks are renamed. As of April 12, 2016, anytime a shared notebook is renamed, all recipients will see the change. Everyone will be able to refer to a shared notebook using the same notebook name. This doesn’t affect any of the contents of any notebooks.

Please upgrade Evernote on all your devices so the latest updates will be reflected in your account.

I have ‘Can edit and invite’ permissions for a shared notebook, but am unable to rename it. Why?

If a notebook that’s been shared with you is a personal notebook, you will not be able to rename the notebook, even if you have “Can edit and invite” permissions.

If a notebook that’s been shared with you is a business notebook, you have the ability to rename it if you have ‘Can edit and invite’ permissions. Bear in mind that the changes you’ve made will be visible to all the other recipients of that shared notebook.

I’m no longer able to rename shared notebooks like I used to do. Why is this?

This is by design. Recently, Evernote changed the way shared notebooks are renamed. As of April 12, 2016, the name of a shared notebook is consistent in every recipient’s account.  In the past, any recipient with ‘Can edit’ or ‘Can edit and invite’ permissions for a shared personal or business notebook could change the name of notebooks listed in their account, a name nobody else would see. When different people have different names for the same shared notebook, communication becomes difficult.

Two possible reasons why you may no longer be able to rename a shared notebook you’ve successfully renamed in the past:

  • You don’t have ‘Can edit and invite’ permissions to the shared business notebook you’d like to rename.
  • The shared notebook you’re trying to rename is someone else’s personal notebook. As of April 12, 2016, personal notebooks can only be renamed by the person who created the notebook, not by anyone else, even if they have ‘Can edit and invite’ permissions.

After upgrading Evernote, some of my notebooks appear to be missing! What should I do?

Try any of the following:

  • Upgrade all the devices where you have Evernote.
  • Search for notes you know are in the shared notebook that appears to be missing. You may find the note inside a notebook under a different name.
  • Expand stacks in your notebook list to find the missing notebook. You may find the note inside a different notebook stack.
  • Click the activity history button (bell) on the Evernote toolbar on Mac and Windows to see if any notebooks were renamed recently.

Some saved searches and automatic triggers I’ve set up for Evernote through connected services such as IFTTT, Zapier, seemed to have stopped working. Why is this?

Evernote changed the way shared notebooks are renamed so that the name of a shared notebook is consistent in every recipient’s account. Though none of the contents of any notebooks will have been affected by this change, you may notice that some of the shared notebooks in your account have been renamed.

Please update any saved searches in Evernote and automatic Evernote triggers in connected services to reflect name changes to shared notebooks.
