Why should existing Evernote users join the company’s Evernote Business account?

Many users already have Evernote Basic, Plus, or Premium accounts. When they join their company's Evernote account, their individual accounts are upgraded with the features of Evernote Business. Existing Evernote users should upgrade their personal accounts to business accounts for the following reasons:

  • Additional features: Enjoy the Evernote Premium and Evernote Business features that support more collaboration.
  • Ability to display business emails when sharing business notes: Adding a business email address enables users to share business notes from their business email address, while personal notes are still sent from a personal email address.
  • All your notes in one place: Avoid having to manage two accounts and regularly switching between them to create and find content. Personal notes remain private, while a company’s business notebooks appear alongside their existing content for easy browsing and searching.

What if one of my company’s employees already has an Evernote account?

If an employee has an existing Evernote account, we strongly recommend that they use it to join the company's Evernote Business account. All of their personal notes and notebooks will remain separate from their business notes and notebooks. No one, not even the account admin, will have access to or control over any of a user's personal notes and notebooks, and the user keeps them even if they leave the business. Using their existing Evernote account is also more convenient, as they will not need to manually switch between two separate accounts.

What do users with existing Evernote accounts need to do when they upgrade to the company’s Evernote Business account?

As Evernote Business users, they can continue to use Evernote just as they have been. Their business email address, rather than their personal email address, is displayed when they share business notes. Personal email addresses are still displayed when personal notes are shared.

Users should add their business email address by following these simple steps:

  1. Log in to your account settings in Evernote Web using your current personal email address and password
  2. Click Business Profile, Account Summary, or Security Summary from the side navigation menu
  3. Add your business email address in the 'Business Email Address' section

What happens to users’ notes and notebooks when they join or leave a company's Evernote Business account?

When users join a company's Evernote Business account, their personal notes and notebooks remain completely private, unless users explicitly share them with others, move them to a business notebook, convert a personal notebook to a business notebook, or publish them to the company’s business home.

If users leave your Evernote Business account, they can continue to use their personal notes and notebooks as before, but will immediately lose access to business notes and notebooks, since all business content remains within the Evernote Business account.

What is the monthly upload allowance for an Evernote Business account?

Every user that joins their company's Evernote account is automatically upgraded to an Evernote Business account, which provides the highest monthly upload allowance.

In which countries is Evernote Business currently offered?

How do I set up and get started with Evernote Business?

How do I add content into my Evernote Business?

There are three primary ways to add content:

  • If you have existing notes in your Evernote account, you can move or copy notes from a personal notebook into a business notebook by right-clicking on the note and selecting Move to notebook... or Copy to notebook..., respectively 
  • You can convert an entire personal notebook into a business notebook by right-clicking on a personal notebook from the Notebook List, then selecting Convert to Business Notebook... (available for Mac and Windows desktop only)
  • You can also create new business notebooks and add new notes to those notebooks

Managing your company's Evernote Business account

How do I manage my business such as adding users, adding content, and viewing billing information?

Evernote Business account admins can use the admin console to manage the company's Evernote account.

Can I use my email address book to invite users?

Absolutely. To access your Gmail or Google Apps contacts, click the Gmail icon on the Add Users tab of the admin console. This allows you to auto-fill email addresses when inviting your team members to join your company's Evernote account.

How can I ensure that users who are not part of my business will not be able to join my company's Evernote Business account?

Only users that you invite via email, or who have an email address in a domain that you specify, are able to join your company’s Evernote Business account.

If you prefer to turn off domain auto-approval:

  1. In the menu bar of one of our desktop applications, select Help > Go To Admin Console…
  2. In the 'Add Users' tab, select the option to disable Auto-Approval for your domain

How do I revoke a user's invitation or remind a user to join my company's Evernote Business account if they have not responded to my invitation?

From the 'Users' tab in the admin console you can revoke a user's invitation or re-invite a user you have previously invited to join your company's Evernote Business account.

Can I export data from a deactivated user’s account?

Yes. Any business notebooks that were created by the user will continue to be available to the business. These can be managed by the account admin via the 'Manage Notebooks' tab of the admin console.

Is Evernote data encrypted?

All communications between Evernote's client applications and servers is done over SSL so your password and all data is secure in transit. Evernote does not encrypt any data stored on your own computers and devices, however you can choose to set up encryption on your drives and devices yourself.

Does Evernote Business support Active Directory or programmatic user management?

Yes. Evernote Business connects with your current Active Directory or LDAP solution, letting you invite or remove Evernote Business users right from within your existing Administrative console. Services like Okta, the first provisioning partner fully integrated with Evernote Business, enable this simple user management in minutes.

Does Evernote Business support Single Sign-On (SSO)?

Yes. Evernote uses the secure and widely adopted industry standard Security Assertion Markup Language 2.0 (SAML 2.0). This means that our implementation of SSO integrates easily with any large identity provider that supports SAML 2.0. We also support ADFS.

Is Evernote Business SSAE16 compliant?

The data center that manages our data is SAS 70 (Type II) and SSAE16 SOC-1 (Type 2) certified. The Evernote company and service has not gone through the formal process of SSAE16 certification.

Is Evernote Business HIPAA compliant?

Evernote and Evernote Business are not currently compliant.

Does Evernote Business provide version control or note history features?

One of the great features for Premium and Business users is that they can access the note history, a snapshot of the note saved approximately every day, and roll back a note from Evernote Web or from the Mac or Windows desktop client.

Can I see who is making changes or moving content from business notebooks to personal notebooks?

Evernote’s activity feed inside the client will show you a list of recently-changed notes and who made them; however, you won’t see an itemized list of every single change.

Can I recover notes that have been deleted?

Anyone can delete items in their company's Evernote account, which will move those items to the 'Business Trash' notebook. If someone accidentally deletes a note, they can always restore it from within the business 'Trash' notebook, even if they're not the company's account admin.

How can I prevent users from creating business content and moving business content into personal notebooks?

Evernote cannot currently prevent users from creating business content and storing it in a notebook, nor is there a way to “turn off personal notebooks” to keep users from creating their own notebooks. For this reason, we strongly encourage Evernote account admins to develop company data handling policies to guide individuals with regards to business content.

Billing & Payments

Can I get a free trial of Evernote Business?

Evernote does not currently offer free trials for Evernote Business. Please check the our website or contact us to check for any other offers and promotions that may be available.

Are there discounts for Evernote Business?

Yes, we offer discounts to qualifying non-governmental organizations (NGOs), non-profit organizations, and educational institutions.

How do I cancel my company’s Evernote Business account and what happens to the notes and notebooks in that account once it's been cancelled?

You can cancel your company's Evernote Business account from the admin console in the 'Billing Information' tab. It will remain active until the end of your currently paid billing cycle. Before you cancel your company’s Evernote account, we recommend that you move any notes in business notebooks that you want to keep into personal notebooks, or create a backup file by selecting the notebook and 'Export Notes' as an .enex file on your computer. You will lose access to the business notes and notebooks once the account is canceled.
