Assign a task to someone

Assign a task window

Keep every project moving smoothly by assigning tasks to others. When you assign a task to someone, it will appear in the Tasks view of their app.

Note: This feature is available on Mac and Windows to eligible Evernote Business customers during Early Access. When Tasks is officially released, this feature will be limited to specific Evernote subscription plans.

Assign a task to someone

When you assign a task to someone, the assignee will receive a notification via email. If you'd like the assignee to see the contents of the note the task is in, in addition to the task itself, make sure to share the note with them as well.

To assign a task to someone, follow the steps for your operating system below.

  • Mac

    1. Click anywhere in the title of a task to bring up the task editor.
    2. Click the Assign task button (person in a circle).
    3. Enter the name or email address of the person you'd like to assign the task to.
    4. Click Done.
  • Windows

    1. Click anywhere in the title of a task to bring up the task editor.
    2. Click the Assign task button (person in a circle).
    3. Enter the name or email address of the person you'd like to assign the task to.
    4. Click Done.
  • Web

    1. Click anywhere in the title of a task to bring up the task editor.
    2. Click the Assign task button (person in a circle).
    3. Enter the name or email address of the person you'd like to assign the task to.
    4. Click Done.

View assigned tasks in the Tasks view

To view assigned tasks, click the "Assigned" tab in the Tasks view.

You can see tasks assigned to you and, depending on your subscription plan, tasks that have been assigned to others.

Click a task's title to view its details. If you have access to the note that the task is in, click the note title underneath the task to open the note.

Editing and permissions

When you assign a task to someone, the assignee can take the following actions:

  • Edit the title
  • Add or edit the due date
  • Add a reminder
  • Add or remove a flag
  • Unassign the task
  • Mark the task as completed

If you share the note that the task is in, in addition to assigning the task, you can provide edit permissions. This will allow the assignee to take the following actions:

  • Move the task to a different note
  • Move the task within the note
  • Delete the task

Share a note with an assigned task

Assigning a task to someone does not automatically share the note that the task is in. Sharing the note is a separate, optional action. In addition, when you share the note, the assignee will need to access the note from the "Shared with Me" section of their app before it will be available in the Tasks view.

Here is a scenario where you may want to share the note:

  • You took notes during a meeting, and several tasks need to be delegated to members of your team. You'd like to assign the tasks to the team and, additionally, want to share the note with them so they can see the meeting notes and have context for their action items.

Here is a scenario where you may not want to share the note:

  • You keep a note with your personal to-do items. You'd like to assign one of the tasks to someone else, but you don't want to share your entire personal note with them.

Notification emails

When you assign a task to someone, they will receive an email notifying them that you have assigned them the task. They will also receive notification emails if you do any of the following:

  • Mark the task as completed
  • Unassign the task
  • Reassign the task to someone else

Conversely, if the assignee performs any of the above actions, you (the assigner) will receive notification emails.

Can I assign a task to myself?

Yes! Simply enter your own name or email address when assigning the task.

Can I assign a task to more than one person?

No. Each task can only be assigned to one person at a time.

Can I assign a note to someone?

No. Only individual tasks can be assigned; not an entire note. You can share a note that includes tasks with someone, but the tasks still need to be individually assigned to show up under the "Assigned" section of their Tasks view.

Can I assign a task to someone who doesn't have an Evernote account?

During Early Access, you can only assign a task to someone in your Evernote Business account. Once Tasks is officially released, you will be able to assign a task to anyone, even if they don't have an Evernote account. If they don't have an Evernote account, they will be prompted to sign up for one.

How can I access my assigned tasks on mobile?

Assigned tasks are not yet supported on iOS and Android. You can access your assigned tasks on Mac, Windows, and Web.

Why do I see tasks in my Assigned tab that don't belong to me?

There may be tasks that have been assigned to someone in notes that you have access to (for example, in a shared notebook or space).

Why does clicking on an assigned task launch Evernote Legacy?

If you have both Evernote Legacy and the new Evernote for Mac or Windows installed, and you click "Launch Evernote" on the page you see when you click on an assigned task from an email, Evernote Legacy will launch. Since Evernote Legacy does not support Tasks, you will need to manually open the new Evernote app to view your assigned tasks.

Why don't I see my task when I click "Continue in browser"?

You may be using an older version of Evernote Web that doesn't support Tasks. To learn how to switch to the new version of Evernote Web, visit Switch to the new Evernote Web (Version 10+).
